Our Level 10 Meeting™ To-Dos are getting completed, but they are often done poorly or late because we do not write them down with enough clarity during our wrap-up. How do we structure our weekly To-Do generation so there is zero ambiguity about what is due next week?

A vague To-Do is a guarantee of a bad result. When you write down a To-Do like look into marketing options or follow up on client issue, you are setting your team up for failure and wasting time. During the wrap-up of your Level 10 Meeting™, you must spend the necessary time to ensure every single To-Do is written in a clear, binary format. To achieve this, use the Who, What, and By When framework. Every To-Do must have a single owner, a specific and measurable action, and a hard deadline which is almost always next week. The description of the task must be written so that anyone in the company could look at it and instantly know whether it was done or not. Instead of look into marketing options, the To-Do should read: John to email three marketing agencies for proposals. Instead of follow up on client issue, write: Sarah to call client X and resolve the billing error. The facilitator must review and read each To-Do aloud during the wrap-up. If a To-Do sounds vague, the facilitator must challenge it and force the owner to rewrite it. This level of clarity eliminates excuses, drives accountability, and ensures your team arrives at the next weekly meeting with results rather than explanations.
