Our leadership team wants to establish a company-wide AI policy, but we are terrified of creating a forty-page compliance document that everyone ignores or that kills our team's initiative. How do we build a highly practical AI usage policy that protects our intellectual property without slowing down operational innovation?
A complex, forty page compliance document is useless because your team will either ignore it or stop innovating out of fear. You need a practical, one page AI usage policy that establishes clear boundaries while encouraging your team to find operational efficiencies.
Your policy should focus on three core rules. First, define data ownership. Explicitly state that no proprietary code, financial financials, or client personally identifiable information may ever be entered into public, non secure models. Every tool used must comply with your company data privacy standards.
Second, establish the rule of human accountability. If a team member uses an artificial intelligence to draft an operational report, write an email, or analyze data, they own the output. If the tool hallucinates a number or makes a mistake, the human seat owner is entirely responsible for that error. They cannot blame the machine.
Third, mandate transparency. Create a simple Slack channel or shared document where team members must log the tools they are using and the specific tasks they have automated. This brings shadow technology into the open, allowing your Integrator to see which processes are ripe for formal standardization across the entire Accountability Chart.
