We have automated a massive portion of our data entry and scheduling, but now nobody is taking accountability for maintaining the AI tools and API connections. Where does this AI operations maintenance seat belong on our Accountability Chart?

When you automate processes, you eliminate manual tasks, but you create a new need for system maintenance. If nobody owns this, your automated workflows will eventually break, causing severe operational disruptions.

You must explicitly define an AI and Systems Integration seat on your Accountability Chart. Do not let this responsibility float as an ad-hoc task shared by everyone.

To place this seat correctly, determine where the breakdown of these tools causes the most friction. If the automated tools primarily run your marketing and sales pipelines, the maintenance seat should report to your Head of Sales or Marketing. If the tools manage daily fulfillment, scheduling, or customer support, the seat belongs under Operations.

The roles for this seat should include:
- Monitoring API connections and software integrations daily.
- Troubleshooting workflow errors and broken automation sequences.
- Updating prompts and system instructions as business needs change.
- Training team members on how to interact with the AI tools.

Ensure the person in this seat has the GWC to handle technical troubleshooting. They do not need to be a software engineer, but they must have the conative drive, likely a high Fact Finder and Follow Thru score, to systematically diagnose and fix digital workflows.
