We want to leverage AI to automate our internal operations and have designed a new AI Automation Specialist seat. Since this role will touch every department from sales to finance, we are arguing over where it should sit on our Accountability Chart. Should it report to the Integrator or be housed under a specific department like Operations?
When introducing a specialized seat like an AI Automation Specialist, the tendency is to let it drift or report to multiple departments. This is a mistake. Every seat on your Accountability Chart must have a single reporting line to ensure absolute clarity.
To determine where this seat belongs, look at the primary focus of the role. If the AI Specialist is primarily building workflows to optimize internal systems, manage database integrations, and support software infrastructure, the seat should sit under your technology department or report directly to your Integrator if you are a smaller, flatter team.
However, if the role is highly tactical and focused on automating processes within a specific department, such as customer service or marketing, it can temporarily sit under that department head.
The most important rule is that the seat holder must report to one manager. Do not allow them to take direction from multiple leaders, which leads to conflicting priorities. Define the five key roles of the seat, clarify the scorecard metrics they own, and place them under the leader who is best equipped to manage their execution and help them solve issues in their weekly Level 10 Meeting.
