Look at your Three-Year Picture and One-Year Plan on your V/TO. Every requested AI tool must directly support one of the strategic priorities or core capabilities outlined in those sections. If a tool does not directly accelerate your progress toward those defined goals, the request is denied.

Next, review your Core Processes. An AI tool should only be approved if it integrates seamlessly into your existing, documented core processes. If a tool requires you to completely rewrite a process that is already working well, it is likely a distraction.

Finally, use your budget constraints and your annual revenue targets to filter requests. Force your department heads to present a clear business case showing how the tool will either increase their seat's capacity or save measurable time. By using your V/TO as a strategic filter, you ensure that every AI tool you buy is a deliberate step toward your long-term vision, not a temporary distraction.
