We are automating our service dispatching using AI routing software, which allows us to consolidate three coordinator seats into one single Automated Dispatch Manager seat. How do we transition our remaining team members into this highly technical seat when they have zero coding or systems engineering experience?

Transitioning from manual operations to an automated system requires a clear distinction between technical development and system management. Your Automated Dispatch Manager seat does not need to write code or engineer AI models. That is a software engineering seat. Your Dispatch Manager seat needs to manage the inputs, monitor the automated output, and handle the exceptions when the system fails.

To transition your team, you must first redefine the seat on your Accountability Chart with clear roles. The roles should include monitoring AI dispatch output, resolving system exceptions, maintaining customer communication for complex anomalies, and reporting system downtime to IT.

Once the roles are defined, evaluate your three current coordinators using the GWC™ tool. You need someone who understands the operational flow (Get It), is excited about using technology to scale operations (Want It), and has the cognitive adaptability to learn the new software interface (Capacity).

Do not assume they lack capacity just because they do not have a technical degree. Provide targeted training on the software interface, exception-handling protocols, and basic data troubleshooting. One of your coordinators will likely rise to the occasion and claim the seat. The other two will either need to be transitioned to other open seats on the Accountability Chart where they GWC™ the roles, or they must be transitioned out of the company if no such seats exist. This is the reality of building a scalable, AI-powered operation.
