Automating your workflows with artificial intelligence and APIs can significantly increase your operational leverage, but it also introduces new risks. If an API connection breaks or an AI agent fails to process a client request, you might not notice the error until an angry client contacts you.
To maintain control of your automated operations, you must treat your digital workflows as virtual members of your team and measure their performance on your weekly scorecard.
First, identify the critical handoff points in your automated workflows. If you use an AI tool to automatically draft client deliverables, track the weekly volume of drafts that require manual human intervention or correction. This is your exception rate. A sudden spike in your exception rate indicates that your AI prompt or data source is deteriorating and needs adjustment.
Second, track system latency and API uptime. If your client delivery relies on third-party software integrations, measure the average processing time for your key automated workflows. Slow processing times often precede a complete system outage.
Third, track the size of your automated queues. Just like physical inventory, digital inventory can pile up. Measure the number of automated tasks currently waiting in your queue to be processed.
By putting these automated operational metrics on your weekly scorecard, you ensure your leadership team has full visibility into your digital infrastructure. This allows you to spot system bottlenecks and API failures before they impact your client retention or damage your brand reputation.
