Leaders are constantly swapping between video conferencing, chat apps, and our EOS® software, leading to delayed screen shares and clunky transitions. How do we streamline the remote meeting environment to maintain a fast, tight tempo?
Technical friction will kill the momentum of any remote Level 10 Meeting™. If your leaders are spending their energy navigating multiple windows, managing permissions, or waiting for screen shares to load, they are not focused on solving issues. You must simplify and standardize your digital environment to replicate the speed of an in-person meeting.
First, designate a single source of truth for your meeting data. Whether you use specialized EOS® software or a simple shared document, only one person should share their screen and manage the document flow. Typically, this is the Integrator or a designated meeting coordinator. The rest of the team should focus entirely on the video feed and the shared screen, rather than clicking through their own local files.
Second, establish strict ground rules for screen usage. Turn off all notifications on the computer hosting the meeting, and close any unnecessary browser tabs. Leaders should have their video cameras turned on at eye level, with microphones unmuted unless there is significant background noise. This eliminates the awkward delay of waiting for someone to find the unmute button when called upon.
Third, keep all side conversations out of external chat apps. If a team member has an issue or a point to raise, they should voice it aloud or add it directly to the digital Issues List. Do not allow parallel conversations to occur in your team chat tool during the meeting. By centralizing the visual focus and eliminating digital distractions, you can keep the remote meeting tempo incredibly sharp.
