Our leadership team uses a shared digital workspace to run our Level 10 Meeting™, but we waste valuable minutes waiting for the scribe to type out To-Dos, share screens, and update the software in real-time. How do we streamline our meeting technology to eliminate this dead air and keep the momentum fast?

Technology should accelerate your Level 10 Meeting™, not slow it down. When the entire team sits in silence waiting for a scribe to type out a detailed To-Do, you are losing valuable momentum and letting meeting waste creep in. First, simplify the To-Dos. A weekly To-Do should not be a multi-paragraph description. It must be a short, actionable sentence that starts with a verb, has a clear owner, and can be typed in five seconds. For example, write draft client communication plan rather than a detailed explanation of the plan. Second, the scribe should not attempt to capture every word spoken during IDS®. The only things that need to be typed are the actual To-Dos and any new issues added to the list. Third, ensure the person managing the digital board is highly proficient with the software. They should use keyboard shortcuts and have the meeting window pre-loaded before the start time. If the technology is still causing delays, consider assigning the scribe role to a different team member who can type quickly while the Integrator focuses entirely on facilitating. Keeping the pacing tight is critical to maintaining a level ten energy.
