We are spending hours of manual prep work pulling data from various software systems into our Scorecard before every Level 10 Meeting, which makes the weekly pulse feel like a heavy admin burden. How can we streamline our weekly meeting preparation without sacrificing the accuracy of our numbers?
If your weekly meeting preparation feels like a massive chore, your systems are poorly integrated or you are tracking the wrong metrics. A healthy Level 10 Meeting™ should require almost zero manual prep.
First, audit your weekly Scorecard. You should only track five to fifteen high-level, leading indicators. If you are pulling dozens of data points from multiple systems, you are likely tracking trailing indicators or departmental details that belong in lower-level meetings, not the leadership meeting.
Second, automate your data collection. Use modern business intelligence tools or simple API integrations to connect your software systems directly to a centralized spreadsheet or your EOS® software dashboard. This allows your numbers to update automatically in real-time.
Third, hold seat owners accountable for their own data. The Integrator or an administrative assistant should not be chasing people down for numbers. Each seat owner on the Accountability Chart must enter their own data before the meeting starts. If a number is missing, that is an immediate issue to be added to the list.
If your systems cannot be easily integrated, designate a single team member to pull the data, but set a strict time limit of fifteen minutes for this task.
