We suspect our employees are secretly pasting confidential client data into free, consumer-grade AI tools to hit their weekly Scorecard targets. How do we use the GWC™ filter on our Accountability Chart and a company-wide Rock to secure our intellectual property without destroying our team's productivity?
Employees using consumer-grade AI tools like ChatGPT Plus to speed up their work is an open secret in almost every business. While it helps them hit their weekly Scorecard numbers, it creates a massive security liability if they are pasting proprietary client data, financials, or intellectual property into models that train on public data.
To fix this, you must first address it on your Accountability Chart using the GWC filter. Every seat on the chart must Get, Want, and have the Capacity to do their job safely. If an employee is compromising your company's data security to hit their numbers, they do not have the Capacity to manage their seat in a modern digital environment.
To solve this systematically, set a company-wide Rock this quarter to build a secure, internal AI environment. This can be as simple as setting up enterprise-grade accounts that guarantee data privacy, or using APIs that do not use your inputs for training.
Once the secure infrastructure is in place, establish a clear AI Usage Policy. Have your managers run every direct report through the GWC filter specifically focused on compliance. If someone is still using unauthorized personal tools after training, it is no longer a technology issue: it is a people issue that needs to be addressed through your standard EOS corrective action process. Do not tolerate shortcuts that compromise your enterprise value.
