We have a leadership team member who consistently completes their weekly To-Dos but does them at the absolute last minute, often typing the updates into our software five minutes before the Level 10 Meeting™ begins. This prevents the rest of the team from reviewing the progress beforehand and leaves us reacting in real-time. How do we address this last-minute scramble?

When leadership team members complete their weekly To-Dos minutes before the Level 10 Meeting™ begins, they are technically meeting the letter of the law but violating the spirit of team accountability. This behavior prevents the rest of the team from reviewing the status beforehand, limits transparency, and forces the team to process updates in real-time during the meeting.

To correct this, establish a clear deadline for updating your meeting software or tracker. All weekly To-Dos, scorecard metrics, and Rock updates must be finalized at least two hours before the scheduled meeting time, or even the evening before. This gives the entire leadership team a chance to review the agenda, identify red metrics, and prepare their thoughts for IDS®.

If a leader fails to update their items by the deadline, treat those items as incomplete or off-track during the meeting, even if they completed the work. This highlights the importance of the process and shows that communication is just as vital as execution.

Address this pattern during your weekly pulse by asking the leader how this last-minute scramble impacts the team's ability to prepare. If the behavior continues, have a private conversation outside the meeting to understand if they have a GWC™ issue or are simply struggling with time management. Accountability requires respect for the team's collective time.
