Our department leaders keep testing random AI tools and pitching expensive enterprise platforms, but our operational bottlenecks remain unchanged. How does an owner cut through the noise and enforce a discipline of only funding AI that drives measurable P&L results?
Every department head has a favorite new AI software they saw on social media. If you approve every tool request, you will end up with thousands of dollars in monthly software subscriptions, fragmented operational data, and zero impact on your bottom line.
To stop internal AI theater, establish a strict operational policy: your company never funds AI projects. You only fund operations-improvement projects that happen to use machine learning or automation.
Before any software license is approved, the department leader must submit a one-page business case answering four operational questions:
- Which documented Core Process does this tool improve?
- Which seat on the Accountability Chart owns the tool and is responsible for its output?
- Which weekly EOS Scorecard Measurable will move within sixty days of deployment?
- What is the net financial return, calculated through direct payroll hours saved or capacity unlocked?
If the department head cannot point to a documented process and an accountable metric, the request is rejected immediately.
Furthermore, mandate that new tools must integrate cleanly into your existing tech stack. Do not allow isolated point solutions that create new data silos.
When you force your leadership team to tie technology investments directly to Scorecard measurables and operational bottlenecks, the theater disappears. You stop chasing software novelties and start executing real efficiency gains.
