During our weekly Level 10 Meetings, our team members keep bringing up random operational updates and side topics that are completely outside the designated agenda. How do we eliminate this agenda drift without making people feel silenced?
Agenda drift happens when team members lack the discipline to compartmentalize their thoughts or when the facilitator is too polite to cut people off. In a Level 10 Meeting™, every segment has a specific purpose and a strict time limit. If you allow people to start telling stories, sharing context, or solving problems during the reporting segments, your ninety minutes will vanish.
The cure is a strong, assertive facilitator who acts as the guardian of the agenda. During the Scorecard, Rock review, or Headlines segments, the only acceptable responses are on track, off track, or brief status updates. The moment someone begins to explain or defend a missed target, the facilitator must intervene immediately.
The magic phrase is: let's drop that to the Issues List. This does not silence the team member, it validates their point by putting it on the agenda for the IDS® portion of the meeting.
