When an employee finds an AI prompt that consistently saves time or improves quality, that prompt must be treated exactly like a standard operating procedure. Have that employee document the prompt in your shared company wiki or process library. Create a dedicated section for Approved Prompts. Structure each documented prompt clearly. Include the exact system prompt, the required input variables, and the expected output format. To ensure this does not remain static, designate a single owner on your Accountability Chart to oversee your prompt library. This person should review the prompts monthly to make sure they still work as the underlying AI models evolve. In your weekly Level 10 Meeting™, encourage your team to share their best AI shortcuts during the customer or employee headlines segment. By systematically capturing and sharing these prompts, you ensure that the entire team benefits from individual breakthroughs. This elevates the overall capability of your business, reduces training time for new hires, and builds institutional knowledge that increases the value of your company.
