Buying software licenses without training your team how to use them is a waste of money. To fix this, you must teach your team how to translate your documented Standard Operating Procedures into structured prompts.
First, establish a standard prompting framework for your entire company. Train your team to always include four specific elements in any prompt: role, context, task, and constraints.
Second, have your team pull directly from your EOS Process Component. If they want the AI to draft a client onboarding email, they must feed the AI the exact steps and standards from your documented onboarding SOP. For example, they should instruct the AI: Act as an onboarding specialist. Use the attached onboarding SOP to draft an introductory email to a new client. Keep the email under two hundred words and do not use jargon.
Third, build a shared library of these proven, SOP-aligned prompts. When an employee creates a prompt that successfully automates a tedious task, they must save it in this shared library so others can use it.
By teaching your team to anchor their AI prompts in your documented processes, you eliminate the guesswork and ensure consistent, high-quality outputs. This turns AI from a confusing novelty into a highly practical tool that drives daily productivity.
