We struggle to find someone to act as the scribe during our Level 10 Meeting™ because whoever is typing up the To-Dos and capturing issues gets so distracted by the administrative work that they cannot actively participate in IDS®. How do we solve this scribe bottleneck without silencing a key leader?
The scribe bottleneck occurs when the person responsible for typing up To-Dos and capturing issues during your Level 10 Meeting™ becomes so consumed by the administrative task that they stop contributing to the actual problem-solving. This is a major waste of leadership talent, as you are silencing a key voice on your team for ninety minutes.
To solve this, you must separate the facilitation role from the scribe role, or distribute the administrative load. Do not make your Integrator or a key leadership team member act as a stenographer.
Consider these three clean options:
- Rotate the scribe duty weekly among different team members so the burden does not always fall on the same person.
- Have the facilitator share their screen and type directly into your meeting software, keeping the admin work minimal and visible to everyone.
- Utilize a dedicated administrative assistant who sits in on the meeting solely to take notes, log To-Dos, and manage the software, allowing the leadership team to focus one hundred percent on IDS®.
Whichever path you choose, the goal is to keep your leadership team fully engaged in solving issues. When every leader is free to participate without being distracted by typing, your IDS® sessions will be sharper, faster, and far more productive.
