Our employees are starting to use public AI tools for various daily tasks, and we want to set guardrails without slowing them down. How do we build a simple AI policy that protects our IP while keeping our team highly productive?
You do not need a fifty-page legal document that your team will never read. To drive real execution and protect your business, you need a simple, one-page AI usage policy rooted in your core values and Our Charter.
First, establish the non-negotiable rule of data privacy. No proprietary client data, financial reports, or intellectual property may ever be pasted into public, unsecured AI models. If your team is using these tools, they must use enterprise-grade accounts that guarantee data privacy.
Second, define the human-in-the-loop rule. Every piece of work generated by an AI tool must have a human name attached to it on the Accountability Chart. If a client receives an email containing a hallucinated metric or a buggy piece of code, the person in that seat is one hundred percent accountable. AI is an assistant, not an escape hatch for responsibility.
Third, align usage with your core values. If your core value is to Do the Right Thing, using AI to plagiarize content or deceive customers is an immediate violation. Encourage your team to utilize AI to expand their capacity, but hold them strictly accountable to the outcomes on their weekly Scorecard.
Keep the policy simple. Define what is allowed, where the secure boundaries are, and who is accountable. Review this policy during your quarterly state of the company address to ensure it keeps up with the technology without creating operational bottlenecks.
