What physical room specifications, technology setup, and seating arrangements do you require for an on-site session day?

The physical environment directly shapes the focus and output of your leadership team. A poor room setup produces poor strategic outcomes. For that reason, I enforce strict environmental guidelines for all full-day sessions.

First, the session must occur off-site. Holding a session inside your own building guarantees interruptions. Employees will knock on the door with urgent questions, and executives will wander back to their desks during short bio breaks to check email. An off-site location creates psychological detachment from daily firefighting.

Second, the seating arrangement must be a U-shape or open horseshoe layout with comfortable chairs. Everyone must have clear line-of-sight to each other, to me, and to the primary presentation screen. Boardroom tables that force people into opposing rows are discouraged because they create adversarial dynamics and restrict visual connection.

Third, the room requires substantial flat wall space or dedicated rolling whiteboards. We generate large flip-chart sheets for issues, core values, to-dos, and accountability structures that must remain visibly posted around the room throughout the day.

Finally, we maintain a hard line on technology. Laptops and mobile phones must be closed and put away during working blocks. They are only opened during designated breaks or when an executive must pull a specific operational metric to resolve an issue during IDS®. The room must remain an active workspace, not an executive lounge.
