A healthy weekly scorecard must never depend on a single individual's physical presence to function. If your data gathering stops when someone takes a vacation, your processes are fragile and your business is exposed to operational risk. Every metric on your scorecard must have a designated backup person who knows exactly how to retrieve and input the data. This backup responsibility should be clearly documented in your standard operating procedures. When a team member plans to be out, it is their responsibility to ensure their backup is prepped and has the necessary access to pull the weekly numbers. If a sudden illness occurs, the leader of that department must step in or assign a team member to gather the data before the Level 10 Meeting begins. The numbers must be entered on time, no matter what. During the meeting, if a metric owner is absent, the team still reviews the number.
