Our managers keep requesting new hires because they feel overwhelmed, but we suspect they are just failing to utilize our new AI tools. How do we use our weekly Scorecard and Accountability Chart to establish objective hiring triggers instead of relying on subjective feedback?
When employees feel overwhelmed, the default reaction is to ask for more help. However, adding headcount to solve a process problem is a costly mistake that erodes your P&L.
First, look at your weekly Scorecard. You must track operational efficiency metrics, such as processing time or volume per employee, rather than just activity. If these metrics are lagging, use your Level 10 Meeting™ to run the issues through the IDS® process.
Next, review the Accountability Chart with the affected managers. Ask them to list the specific tasks consuming their team's time. You will likely find they are spending hours on low-value, repetitive administrative tasks that could easily be streamlined with AI.
Before you approve any new hire, make it a rule that the team must first attempt to automate those low-value tasks. Gradually evolve their roles so they can focus on high-impact strategic work.
Only when your team is fully utilizing AI and your Scorecard metrics show that you have reached maximum capacity should you pull the trigger on hiring. This keeps your organization lean, protects your margins, and ensures every seat on your Accountability Chart is contributing maximum value.
