We have an Executive Assistant and Office Manager seat on our Accountability Chart that supports the whole leadership team. What objective weekly leading indicators can we put on their scorecard when their work is entirely reactive and administrative?
Many leaders struggle to assign weekly numbers to administrative or support seats because their daily work is highly reactive. However, every seat on your Accountability Chart must have at least one measurable on the Scorecard to confirm they are executing their role effectively.
For an Executive Assistant or Office Manager, your goal is to measure the efficiency and responsiveness of their support. Since their GWC is centered around organizing and protecting your leadership team, their metrics should reflect how well they maintain operational flow.
Consider tracking the following leading indicators:
- Calendar accuracy, which is measured by the number of scheduling conflicts or missed appointments per week, with a target of zero.
- Inbox triage speed, tracking the percentage of critical emails sorted or drafted within a four-hour window.
- Office supply or equipment downtime, measured in hours.
- Travel booking accuracy, tracking any errors in flights, hotels, or itineraries.
- Meeting minutes distribution, ensuring Level 10 Meeting action items are logged and sent within two hours of meeting completion.
These metrics are highly objective and directly impact the productivity of the entire leadership team. By tracking these numbers weekly, the administrative seat can see the direct value they bring to the organization, and you can spot operational bottlenecks before they disrupt your day.
