Our weekly Level 10 Meeting is constantly delayed or disrupted because department heads are still entering their Scorecard data at the very last minute. How do we establish a strict rule and culture of data preparation so we do not waste meeting time?
A Level 10 Meeting™ cannot run effectively if your team is scrambling to update their data as the meeting starts. This bad habit wastes valuable time and turns your meeting into an update session rather than a problem-solving session. You must establish a strict data discipline protocol to ensure your Scorecard is complete and accurate beforehand.
To build a culture of data preparation, set a firm weekly deadline for all Scorecard updates. This deadline should be at least twenty-four hours before your scheduled Level 10 Meeting™. This gives the Integrator and the rest of the leadership team enough time to review the data, spot trends, and prepare their thoughts before they walk into the room.
Implement these three steps to enforce this standard across your team:
- Appoint a single seat on your Accountability Chart, usually the Integrator or an administrative assistant, to audit the Scorecard immediately after the deadline.
- Create a rule that any missing metric is automatically marked as red, regardless of what the actual number was.
- If a leader repeatedly misses the data entry deadline, treat it as a process issue and address it directly during the IDS® portion of the meeting.
When your team understands that data entry is a non-negotiable part of their weekly responsibilities, they will prioritize it. This discipline ensures you walk into every meeting with clean, objective data, allowing you to focus your energy on solving real issues.
