Our weekly To-Do list is constantly bloated because we regularly assign action items that require three or four weeks of deep research, which breaks the seven-day completion rule. How do we properly scope weekly To-Dos so they actually get completed within one meeting cycle?

A weekly To-Do in a Level 10 Meeting™ is a tactical action item that must be completed within seven days. When team members assign large, complex projects as To-Dos, those items inevitably roll over week after week, dragging down your completion rate and creating massive mental clutter.

To fix this, the facilitator must force the team to break down large tasks during the IDS® portion of the meeting. If a proposed solution requires a leader to conduct deep research, draft a new policy, and train the staff, that is not a single weekly To-Do. That is a multi-step project.

Instead, assign a single, highly specific task that can be completed in seven days, such as drafting the first page of the policy outline or scheduling a meeting with the vendor. Once that initial To-Do is completed next week, the next step can be assigned as a new To-Do.
