What is the process for scheduling our sessions, and how do we handle rescheduling if a sudden conflict arises with a leadership team member?

We schedule your quarterly and annual sessions up to a year in advance to protect the dates in everyone's calendar. These sessions are non-negotiable anchor points for your business. If a leadership team member has a sudden conflict, our default rule is that the session goes on without them. The health of the organization cannot be held hostage by the schedule of one individual. The only exceptions are extreme personal emergencies. If we must reschedule, we do so with the understanding that it can severely disrupt your ninety-day execution cycle. Pushing a session back by even two weeks shortens your next quarter and stretches the current one, causing your team to lose traction. If a reschedule is absolutely unavoidable, we must find a new date within the same two-week window. Our shared Circle.so workspace is where we coordinate these calendar adjustments. The key is to treat these session days with the same level of respect you would show to a major board meeting or a critical client pitch. When the leadership team prioritizes these days, the rest of the organization understands that the system is the priority.
