Our leadership team has grown to nine members, and even when everyone keeps their personal and professional bests to a brief summary, the Segue routinely takes ten to twelve minutes of our Level 10 Meeting™. How do we scale our weekly check-in without cutting people off or losing connection?

Having nine people on a leadership team is already stretching the limits of the Accountability Chart, but it makes the five-minute Segue especially difficult. You cannot allow this transition to consume more than five minutes of your Level 10 Meeting™. To fix this, you must run a high-speed round-robin.

The facilitator must set a hard rule: fifteen seconds per person. Each leader shares one sentence for personal and one sentence for professional. If a team member begins to elaborate or tell a backstory, the facilitator must immediately intervene with a polite but firm move-along.

Another option is to rotate who shares. You can have only three rotating members share their personal bests each week, while everyone shares a one-word professional check-in. The goal of the Segue is simply to transition your brain from working in the business to working on the business. It is not a catch-up session.

If your team cannot fit their check-in into five minutes, it is a symptom that your leadership team is too large. Review your Accountability Chart. You may have seats on the leadership team that should actually be rolled up under a single director seat. Shrinking the team to five to seven members will naturally solve your meeting pacing while keeping your operational focus tight. Keep the transition rapid, maintain the pace, and protect your precious IDS® time above all else.
