When our Integrator or other key leadership team members are traveling or out of the office, our weekly Level 10 Meeting™ gets postponed or cancelled. How do we maintain our weekly rhythm without key decision-makers in the room?

Cancelling or postponing a Level 10 Meeting™ because someone is absent is a major mistake. It sends a message to the rest of the company that the meeting rhythm is optional and that the business cannot function without specific individuals.

The weekly meeting must happen at the same day, same time, every single week, regardless of who is missing. If the Integrator is out, a designated back-up leader must run the meeting. The agenda stays exactly the same.

Review the Scorecard, review the Rocks, and go through the Headlines. If an issue arises that requires the input of an absent team member, do not try to solve it. Simply leave it on the Issues List for the following week, or assign a to-do for someone to gather information from the absent person.

For other issues, the remaining team members must proceed with IDS® and make decisions. If your structure is healthy, the team should have the authority to solve problems within their seats even when the owner or Integrator is away.

By keeping the meeting pulse alive, you build institutional resilience. It forces your leadership team to step up and make decisions, which is exactly what you need to prepare the business for scaling.
