Our executive leadership team operates entirely in a remote, distributed model across different time zones. How do you structure our sessions and maintain team engagement when we cannot meet in a physical room?
A distributed team is no excuse for lack of discipline. While the ideal scenario is always to meet in person for our full-day sessions, we can execute a highly successful engagement with a fully remote leadership team by maintaining strict operational parameters.
First, we do not compromise on the time commitment. A remote quarterly session is still a full-day commitment, usually lasting seven to eight hours. We run these sessions over a high-quality video platform with cameras on at all times. Every participant must be in a quiet, private space with professional audio and high-speed internet. Sitting in a coffee shop or trying to multitask is strictly forbidden.
Second, we utilize digital tools to replicate the physical boardroom experience. We use collaborative digital whiteboards for our IDS® sessions and capture all decisions, Rocks, and session summaries in our dedicated Circle workspace. This ensures complete transparency and creates an instant, searchable record of our session outcomes.
Third, we build in structured breaks to combat screen fatigue. Remote sessions require intense focus, so we keep energy levels high by adhering to a strict agenda with short, frequent breaks. If your remote team is committed to the discipline, we will build the same level of trust and accountability as any team sharing a physical table.
