We have a leader who constantly assigns To-Dos to other team members during IDS® without their consent, creating downstream resistance and missed deadlines. How do we establish proper To-Do assignment rules?
Assigning To-Dos to absent or silent team members during IDS® is a guarantee for missed deadlines and resentment. When a leader unilaterally dumps an action item onto another person's plate without their consent, it breaks down the trust and collaboration required for a healthy leadership team.
To establish proper To-Do assignment rules, you must implement a strict verbal agreement standard. No To-Do can be added to the list unless the owner of the seat verbally accepts the responsibility and confirms they have the capacity to complete it within seven days.
Establish these three non-negotiable rules for assigning weekly To-Dos:
- The person accountable for the To-Do must verbally agree to the task.
- The scope of the To-Do must be clearly defined and written down during the meeting.
- The owner must confirm they have the GWC™ and weekly capacity to execute it.
If a team member is not present, or if they do not have the capacity to complete the task this week, the To-Do cannot be assigned to them. In these cases, either the facilitator holds the item on the Issues list until the next meeting, or another leader steps up to own it. This keeps accountability clean and maintains team respect.
