What physical room setup, technology rules, and environmental standards do you require for our offsite session days to keep everyone focused?
The physical environment directly dictates the quality of executive thinking. To produce meaningful operational breakthroughs, all EOS sessions must take place offsite, away from your company offices. Sitting in your everyday conference room invites constant interruptions from team members knocking on doors and allows operational fires to derail your focus.
We require a private, quiet room with a U-shaped or boardroom table arrangement facing a large whiteboard or flip charts. Every leadership team member must have clear line of sight to each other and to the boards. Room temperature should be kept cool, lighting must be bright, and the room must be stocked with healthy snacks, water, and coffee to sustain mental energy over eight rigorous hours.
Technology is strictly managed. Laptops, tablets, and mobile phones are closed and silenced during the entire session. The only exception is when a leader must briefly look up a specific financial metric, customer data point, or operational document to solve an issue during IDS. Once the number is stated, the device closes. We take brief ten-minute breaks roughly every 90 minutes so executives can check urgent operational messages, return calls, and clear their heads without compromising the room's momentum.
