We deployed AI tools that automated ninety percent of the manual data entry in our Dispatch and Scheduling seat, and the coordinator is terrified their role is being eliminated. How do we rewrite the five roles for this seat on the Accountability Chart so it focuses on exception handling and capacity optimization instead of clerical busywork?
When software or AI automates the transactional labor of a seat, owners make the mistake of leaving the job description unchanged or rushing to fire the employee. If the person passes your Core Values and Gets It, the proper move is to elevate the seat from tactical data entry to high-level exception management and operational throughput.
Sit down with the Integrator and rewrite the five major roles on the Accountability Chart. Remove roles like manual ticket entry, daily schedule distribution, and technician calendar updates. Replace them with roles that drive financial and operational performance:
- AI schedule exception handling and conflict resolution
- Fleet utilization and technician billable capacity optimization
- Real-time client communication for delayed deployments
- Automated dispatch workflow auditing and prompt refinement
- Field efficiency scorecard tracking and margin leakage reporting
Walk the coordinator through the revised seat. Explain that their value to the company is no longer measured by how many keystrokes they complete, but by the utilization rate of the field team and the speed with which they resolve anomalies that automated systems cannot handle.
Assess the person against the new roles using GWC. Do they understand capacity planning? Do they want to analyze data and solve live customer escalations rather than enter tickets? If they have the aptitude, provide prompt engineering and operational training. You turn an easily automated clerical worker into a high-leverage operations controller who protects gross margins.
