We have fully automated our manual billing and invoicing processes using software integrations, meaning our dedicated Billing Clerk seat on the Accountability Chart is no longer necessary. How do we formally retire a seat from the chart and handle the transition of the person currently sitting in it?
Retiring a seat from your Accountability Chart because of automation is a major milestone, but it must be handled with sensitivity and clear communication. First, confirm that the automated system is fully stable and that the manual tasks have permanently vanished.
Once confirmed, the leadership team must update the Accountability Chart. Remove the Billing Clerk seat entirely. This is a business decision, not a personal one, and must be treated as such.
Next, evaluate the person currently sitting in that seat. Run a GWC™ assessment on them against other open seats in the company. Since they already understand your operations, they might be the perfect fit for a newly created client-onboarding seat or a quality assurance role.
If they fit another seat and pass GWC™, present the transition as an exciting promotion or evolution of their career. Explain that technology has freed them from manual data entry so they can focus on higher value work.
If there are no other suitable seats, or if they do not pass GWC™ for any available roles, you must execute a clean, respectful exit. Keeping an unnecessary seat on your chart just to avoid a tough conversation adds bloat and hurts your margins. Handle the departure with generous severance and gratitude for their service.
