We have recently integrated several new AI tools to automate our customer service and billing. Now our Head of Customer Service and our Head of Finance are arguing over who should own the billing accuracy metric on their Accountability Chart seats. How do we resolve this?
When automation blurs the departmental lines, you must resolve the dispute by looking at who has ultimate accountability for the final outcome, not who manages the software interface.
To resolve this issue, you must use your Accountability Chart to clarify the specific roles of each seat. While customer service interacts with the automated billing interface, the Head of Finance must own the overall integrity of the ledger and financial accuracy.
Follow this process to resolve the conflict:
- Bring the dispute to your weekly Level 10 Meeting™ and use IDS® to identify the root cause of the billing errors.
- Confirm that only one seat can own the billing accuracy metric on the weekly scorecard.
- Assign the metric to the seat that has the greatest leverage to prevent errors, which is typically Finance.
- Define a supporting role for the Customer Service seat to handle customer billing inquiries and feedback.
By ensuring that each seat has clear, non-overlapping roles, you eliminate departmental friction and build a highly efficient, automated operation that is ready for a clean exit.
