We decided to fly our remote executive team in for a physical session day. How should we coordinate the travel, dinners, and workspace so we do not show up exhausted or distracted?
Flying a remote team in for an intense, full-day session requires careful planning to protect everyone's cognitive energy. If you structure the trip poorly, you will end up with a tired, distracted team that checks out by noon.
To maximize our time, follow these guidelines:
- Schedule arrival for the afternoon before the session. Never have team members fly in on the morning of our session day; travel delays and early morning alarms destroy focus.
- Host a casual team dinner the night before. Use this time for social reconnection and catching up on personal lives. This gets the catching-up energy out of the way so we can focus purely on business the next morning. Do not let the dinner run late, and keep alcohol to a minimum.
- Guard the session day. The session day itself must be entirely free of other meetings, calls, or dinners. Once the session ends around 5:00 PM, let the team go. Do not schedule a heavy, mandatory business dinner that night. Your team will be mentally drained and will need white space to process the day and rest.
- Plan departure for the day after the session. If people are rushing to catch a 6:00 PM flight, they will be watching the clock all afternoon, which ruins the critical final hours where we set our Rocks.
By separating social bonding from strategic execution and giving your team time to rest, you ensure they arrive at the offsite with the focus needed for deep work.
