Virtual meeting friction often comes down to poor administrative workflow. When the facilitator is also acting as the software driver, scribe, and timekeeper, the entire meeting slows to a crawl. You must separate these administrative tasks to restore a fast operational pace.

The best way to handle this is to assign a designated driver who is not the facilitator. This person is responsible for sharing their screen, updating the Scorecard, toggling the Rocks, and typing the To-Dos live. This frees up your facilitator to focus entirely on the team's energy, vocal cues, and keeping the agenda moving.

Additionally, require all team members to have the meeting software open on their own screens. They should not rely solely on the shared screen. This keeps everyone active and engaged rather than passively watching a video feed.

Finally, set a standard for screen layout. Everyone should use a dual-monitor setup or split-screen so they can see both the meeting workspace and their teammates' video feeds at the same time.
