Our entire leadership team is remote, and while we follow the Level 10 Meeting™ agenda, our IDS sessions feel incredibly clunky on Zoom. People sit on mute waiting for someone else to speak, which destroys our problem-solving flow. How do we replicate the dynamic energy of an in-person whiteboard session in a fully virtual weekly pulse?
A remote Level 10 Meeting™ requires a completely different level of intentional energy than an in-person meeting. When remote teams sit on mute, it is usually because they lack visual cues and fear talking over one another. This kills the dynamic, fast-paced nature of IDS®, turning your weekly pulse into a series of awkward monologues.
To fix this, your facilitator must become more active and directive. Stop waiting for volunteers. The facilitator should call on specific leaders by name to kick off the discussion or challenge a proposed solution. For example, say: Sarah, how does this decision affect your team's capability next quarter?
Additionally, you must utilize your shared digital workspace as a live whiteboard. Do not just look at a static list. The facilitator or another designated leader should share their screen and type notes live as the team discusses the issue. This visual focal point keeps everyone's eyes on the same problem.
Finally, establish a strict cameras-on policy and encourage team members to stay off mute unless they have severe background noise. The minor friction of occasional talking over one another is infinitely better than the dead silence of a muted room. Keep the energy high, keep the screen share dynamic, and push for immediate, active participation.
