For our distributed leadership team that flies in for full-day quarterly offsites, how should we structure our travel, venue setup, and technology to get the highest ROI out of the session?

When working with a remote executive team, physical presence during session days is essential to build vulnerability and alignment. To protect the energy of the day, do not allow team members to fly in the morning of the session. Flights get delayed, luggage gets lost, and people arrive exhausted.

Every leader should arrive the evening before. I recommend holding a casual team dinner that night with one ground rule: do not discuss quarterly operational issues or preview the session agenda over dinner. Use that time strictly for personal connection and unwinding after travel.

Book an external offsite meeting room rather than an Airbnb living room or a team member's home. The space must have plenty of wall space for session materials, reliable high-speed internet, comfortable ergonomic seating for eight hours, and natural lighting. Avoid fishbowl conference rooms inside your company facilities where staff can knock on the glass.

Inside the room, enforce a strict digital shutdown. Laptops remain closed and mobile devices stay on silent inside bags, except during designated breaks or when an Integrator needs to pull up a specific data point during IDS.

Schedule outbound flights for the following morning or very late in the evening. Rushing an executive out the door at 4:00 PM to catch a flight ruins the concluding energy of the day and deprives the team of closure.
