When running our Level 10 Meeting over Zoom, our team wastes ten minutes haggling over which issues to tackle during IDS, and leaders get lost in shared spreadsheets. What is the cleanest system for managing and voting on issues in a remote environment?
Remote meetings die from friction and confusion. In a physical room, an Integrator can read posture and read the whiteboard. On Zoom, screen sharing a chaotic, unformatted document causes leaders to mentally check out and check their email.
To run a seamless remote IDS session, establish these precise operational rules:
First, assign a dedicated scribe who is not the Integrator. The Integrator must keep their eyes on the gallery view to monitor engagement and manage conflict. The scribe controls the screen, documents issues in real time, and captures To-Dos during Conclude.
Second, standardize how issues are submitted. Every issue on the digital list must have an owner, a clear two-word to five-word title, and a date added. Issues lacking an owner or clear title are deleted before the meeting starts.
Third, use a rapid digital voting protocol. Do not open the floor for debate on what to tackle first. Have each leader drop their top three priority numbers into the video chat simultaneously, or use your EOS software voting feature. The top three vote-getters become priority one, two, and three immediately.
Fourth, keep the current issue highlighted on screen. As the team works through Identify, the scribe types the agreed root cause sentence directly under the issue title so the entire room stays aligned on the real problem.
When remote teams have a clear visual anchor and an automated voting protocol, prioritization takes under sixty seconds, leaving a full hour for real problem-solving.
