When a leader leaves and takes their data-gathering process with them, it exposes a major risk in your operations. Your weekly Scorecard should be a source of clarity, not a proprietary black box that only one person can decode.
To prevent this, you must document the exact process for pulling, calculating, and entering every single metric on your leadership Scorecard. We call this metric hygiene.
For every line on your Scorecard, create a simple standard operating procedure that is linked directly to your company playbook. This document should outline where the raw data lives, which software platforms to open, the exact filters or date ranges to apply, and the calculation formula used to get the final weekly number.
Once this is documented, cross-train a backup person for every single metric. Your Integrator should run a quarterly exercise where team members enter the Scorecard numbers for seats other than their own. This ensures that if someone is out sick or departs unexpectedly, your weekly Level 10 Meeting continues without missing a beat.
Remember, the seat on the Accountability Chart owns the result of the metric, but the process of gathering the data must be highly standardized and transparent so anyone on the team can step in and keep your pulse alive.
