Hitting deadlines is a lagging indicator of team health. A highly committed team will often burn themselves out to keep their delivery numbers green, but this is unsustainable. If you wait until deadlines are missed to realize your team is overloaded, you will face sudden turnover and client delivery failures.
To catch capacity issues early, you must track weekly leading indicators of operational stress. First, monitor average weekly hours worked per employee. If your full-time salaried staff is consistently averaging more than forty-five hours a week, they are burning out. Put this average on your weekly Scorecard with a strict upper limit.
Second, track the backlog of unassigned tasks or open tickets. A growing backlog means your team is barely keeping their heads above water with current work and has no capacity to handle new client onboarding or unexpected disruptions.
Third, track the percentage of PTO or vacation days taken versus accrued. If your team is too afraid to take their earned time off because they are overwhelmed, your burnout risk is critical.
When you see these capacity metrics go red on your weekly Scorecard, it is a signal to use the IDS® process in your Level 10 Meeting™. You may need to adjust your sales velocity, hire additional support, or simplify your processes. By managing capacity proactively, you protect your team from burnout and ensure your client delivery remains consistent.
