Our leadership team arrives at our weekly Level 10 Meeting™ completely unprepared, reading the Scorecard and looking at the Issues List for the first time as the clock starts. How do we build a standard for pre-meeting preparation without adding administrative burden?
Arriving at your weekly Level 10 Meeting™ unprepared is a direct violation of meeting discipline. When leaders look at the Scorecard or read the Issues List for the first time during the meeting, you waste valuable time getting everyone up to speed instead of solving problems.
To fix this, you must set a clear standard for pre-meeting preparation. Establish a rule that all scorecard numbers must be updated and all issues must be pre-populated at least one hour before the meeting starts.
This gives every team member time to review the data on their own. Each leader should spend ten minutes prior to the meeting reviewing the Scorecard, checking the status of their To-Dos, and reading the Issues List.
When you enter the meeting room, the team should already know which metrics are off track and which To-Dos are incomplete. This preparation allows you to fly through the review segments of your agenda in less than twenty-five minutes, leaving a full hour for IDS®.
If a leader repeatedly fails to update their metrics or prepare before the meeting, the Integrator must drop this behavior onto the Issues List. Address the lack of preparation as a performance issue, because arriving unprepared shows a lack of respect for the team's time.
