We are ready to sign the contract, but what physical tools, meeting environment setups, and basic technology infrastructure must we prepare on our end before you step into our office for our first session?
Preparing your physical space is critical because a poor environment kills focus. We need a private room far away from your daily operational noise. The space must have enough wall space to hang multiple large flipchart pages simultaneously. This is non negotiable.
You must ensure the room is stocked with these specific physical and technical assets:
- A high quality whiteboard with plenty of fresh dry erase markers
- Multiple pads of large post it notes and highlighters
- A dedicated high definition camera that captures the entire room for hybrid participants
- High quality omnidirectional microphones so remote team members can hear clearly
- Power strips running to every seat so laptops do not die
Beyond the physical gear, you must arrange for food and beverage delivery directly to the room. We do not take long lunch breaks where people scatter. We eat together and keep the energy high. Having snacks, water, and coffee readily available keeps the team locked in.
Finally, assign one person on your team to be the logistics coordinator. This person coordinates with me on the agenda, ensures the room is unlocked early, and manages the technology setup before we begin. Having these basics sorted out allows us to start at full speed on minute one.
