We have two highly valued, part-time employees who share a single administrative assistant seat. They split the week. How do we document this on our Accountability Chart without violating the rule of one name per seat?
You cannot have two names in one seat because accountability must be absolute. If two part-time employees share an administrative assistant role, they cannot both be listed in the same seat on your Accountability Chart. When two people share accountability, no one is actually accountable. When something goes wrong, they will inevitably point fingers at each other, destroying the trust you are trying to build.
To solve this, you must split the structure first. Create two separate, identical seats on your Accountability Chart. For example, name them Administrative Assistant A and Administrative Assistant B. Assign distinct roles and metrics to each seat. If one handles morning client scheduling and the other handles afternoon billing verification, those must be listed as separate roles on the Accountability Chart.
Each person must then independently pass the GWC test for their specific seat. They must get it, want it, and have the physical and mental capacity to do that specific job. Their individual metrics must also show up on your weekly Scorecard. By dividing the seat structurally, you maintain clear reporting lines, eliminate confusion, and ensure that both part-time team members are fully accountable for their unique contributions.
