Technology should accelerate your Level 10 Meeting™, not cripple it. When your facilitator is struggling with software, the entire team loses focus, energy drops, and you waste valuable minutes that should be spent on IDS®. You must streamline your digital workflow to keep the meeting fast and engaging.

Start by assigning a dedicated scribe who is not the facilitator. The facilitator needs to focus entirely on managing the room, guiding the conversation, and maintaining the time boxes. Having one person try to facilitate and type notes simultaneously is a recipe for a sluggish meeting. The scribe should own the screen share, capture the To-Dos, and clean up the Issues List in real time.

Next, ensure every leader has the meeting software or shared document open on their own second monitor. They should not be passively staring at a single shared screen. They must actively look at the Scorecard and Rocks on their own setup to stay engaged.

Finally, establish a rule that all updates must be input before the meeting starts. Do not allow leaders to update their Scorecard metrics or Rock statuses during the meeting. The data must be fully updated and ready to review the moment the clock strikes start. By separating data entry from active discussion, you keep the screen share moving quickly and preserve your team's mental energy for solving actual bottlenecks.
