What specific physical room setup, venue conditions, and technical requirements are necessary when hosting our session days offsite?

Where you meet directly influences how you think. You cannot run an effective session day inside your own company conference room. If you stay on-site, team members will slip out during breaks to answer staff questions, address minor fires, and check their desks.

You must secure an off-site room at a quiet hotel, a professional meeting facility, or a private executive boardroom. The room must meet five strict physical requirements:

- Dedicated privacy: The room must have a closed door with zero foot traffic, glass walls facing busy hallways, or shared common areas where employees or competitors can overhear strategic debates.
- Adequate wall space: We need large, unobstructed wall surfaces or multiple rolling whiteboards. We will tape up large flip-chart sheets containing your Accountability Chart, V/TO components, and Issues List.
- Seating configuration: The room must have a U-shaped table layout or a single large boardroom table where every executive faces each other and can see the main presentation area without straining.
- Comfortable ergonomics: You are sitting for eight hours of intense cognitive work. High-back supportive chairs, proper room temperature control, and natural daylight are essential. A dark, windowless basement room quickly drains executive energy.
- High-quality flip charts: We need two sturdy easels, high-quality Post-It self-adhesive flip chart paper that sticks cleanly to walls without damaging paint, and plenty of fresh dry-erase and chart markers.
