I am a non-technical business owner who does not know how to code. How do I evaluate where AI fits into our business model without handing leadership of the project to IT vendors?
You do not need to understand Python, neural networks, or vector databases to deploy AI successfully. As an owner, your job is not to build the engine; your job is to know your Core Processes and hold your Accountability Chart accountable to real business outcomes.
Start by ignoring the software vendors pitching complete digital transformations. Look at your income statement and your team's weekly calendar. Labor is your largest expense, and a massive portion of that payroll is consumed by cumbersome, low-value administrative tasks like re-entering data, cross-referencing spreadsheets, or chasing down internal status updates.
Treat AI as an operational improvement initiative, not a technical project. Never delegate the operational architecture to an outside IT vendor who does not understand how your company makes money or delivers value to customers. Instead, identify a single administrative bottleneck where your team spends significant weekly hours executing a predictable, documented workflow.
Define the standard operating procedure for that workflow in plain English. State the exact inputs, the business logic, and the required output. When you evaluate an AI tool or hire a specialist to implement an automation, judge the outcome purely on operational performance: Did it reduce turnaround time? Did it eliminate errors? Did it free up payroll capacity for higher-value work? If the vendor cannot explain the solution in terms of your process and margin, walk away.
