As a non-technical owner, you do not need to understand code to spot operational bloat. You simply need to use your Accountability Chart and your 3-Step Process Document as diagnostic tools. Do not ask your leadership team where they want to use AI. Instead, look at the seats on your Accountability Chart that have high administrative overhead, particularly those responsible for data entry, scheduling, or reporting.
Start by reviewing your core processes. Ask your Integrator to show you the steps required to move information from one software system to another. If your team is manually copy-pasting data, rekeying invoices, or downloading reports from one system just to upload them into another, you have found your targets. These are translation bottlenecks, and they are prime candidates for AI-powered integration tools.
To bypass any inflation of complexity, ask your department heads one simple question: What is the most repetitive task your people perform that takes more than four hours a week and requires zero subjective decision-making? If a task has clear rules and relies on existing text or data, it can be automated. Focus your attention on these rule-based administrative steps. Your job is to demand that these manual hand-offs be eliminated, leaving the technical execution details to your Integrator or an external implementation partner.
