Never buy software based on vendor promises or generic demonstrations. Before you sign any contract, structure a thirty-day pilot that isolates the tool's impact on a single, measurable operational metric.
First, establish your baseline. Measure how long it currently takes your estimators to complete a standard bid. If it takes four hours, that is your starting point.
Second, select one estimator who has the GWC™ to run the pilot. Do not roll it out to the whole team yet. Focus on one person who can give you clean, objective feedback.
Third, set a specific, mathematical target for the thirty-day pilot. For example, your goal might be to reduce estimating time from four hours to one hour while maintaining your historical bid accuracy rate.
Track this metric on your weekly Scorecard. If the pilot estimator cannot hit the target within thirty days, the tool is either too complex or your processes are not ready for automation.
If they do hit the target, calculate the dollar value of the saved hours. Multiply those saved hours by your estimator's hourly rate and project that across your entire team. If that annualized saving is significantly larger than the software licensing fees, you have your business case.
