We just signed a contract for an expensive AI-powered operations platform, but I am struggling to track the actual financial return. How do we measure the ROI of an AI tool on our weekly Scorecard?
To measure the true return on investment of any AI tool, you must ignore the vendor marketing and focus purely on your operational metrics. We do this by tracking hard numbers on your weekly Scorecard. Do not look for soft benefits like employee satisfaction; look for reclaimed hours and increased output. First, establish a baseline of how many hours your team spent on a specific manual process before implementing the tool. Once the tool is live, track the average processing time per transaction or task. The primary return on AI is often the capacity it frees up. If an account manager can now handle thirty clients instead of fifteen because AI handles their reporting, that is a direct, measurable impact on your P&L. Add a metric to your Scorecard that tracks this capacity, such as files processed per employee or revenue per full-time equivalent. Additionally, track any changes in your error rates. If the AI tool is doing its job, your manual data entry mistakes should plummet. If you do not see a clear upward trend in productivity or a downward trend in labor costs within ninety days, the tool is shelfware.
