Next, set a clear target for the new tool. If the software costs one thousand dollars per month, it must save your team enough hours to return at least three times that cost in reclaimed capacity, or allow you to process a higher volume of estimates without hiring additional headcount.
Run a controlled test with a single estimator for thirty days. Track two specific operational metrics on your weekly scorecard: the total number of estimates completed per week and the average turnaround time per estimate. Do not calculate ROI based on vague promises of better quality. Calculate it based on hard hours saved and increased throughput. If the data does not show a clear reduction in low value manual labor, the tool does not deserve a permanent spot on your operational budget.
